Building a Voice-of-Customer Operating Model

Most companies collect customer feedback in scattered places - surveys, support tickets, product analytics, sales calls - without ever connecting them. A voice-of-customer operating model is the governance layer that turns scattered signals into one coherent picture.

Inventory your existing signals first

List every place customer feedback already lands: NPS/CSAT surveys, support ticket tags, app usage data, churn interviews, sales call notes. Most organizations have more signal than they realize - the gap is usually connection, not collection.

Assign an owner per signal, and one overall owner

Each signal source needs someone accountable for keeping it clean and current; the program as a whole needs one owner who can see across all of them and isn't just responsible for surveys.

Standardize how findings get shared

Pick a recurring cadence (monthly is common) and a consistent format so surveys, support themes, and product data get reviewed together rather than in separate meetings that never talk to each other.

Close the loop back to the source teams

When a survey theme changes a product decision, tell the team whose customers raised it - visible follow-through is what keeps people willing to keep giving feedback.

Start smaller than you think

Connecting two signals well (say, NPS scores and support ticket volume) beats a five-source program that never gets past a kickoff meeting. Prove the model on a narrow scope before expanding it.
