Confidential Feedback Safeguards

"Confidential" and "anonymous" get used interchangeably, but they're different promises - and in a small team, an honest confidentiality promise still needs real safeguards to hold up.

Confidential is not the same as anonymous

An anonymous response can't be traced back to anyone, even by you. A confidential response is identified in the system but restricted to a small group who agree not to expose individuals - be explicit about which one you're actually offering.

Small groups make anonymity fragile even without names

If only three people work in a department, "the engineering team" as a segment filter is functionally identifying, even with no name attached. Suppress or merge any breakdown where a segment has too few respondents to hide an individual.

Set a minimum group size for reporting

A common rule: don't report a cross-tab or segment breakdown below 5 respondents. Below that threshold, roll it into a broader group instead of showing it on its own.

Limit who sees identified responses

If a survey is confidential rather than anonymous, restrict raw response access to the smallest group that genuinely needs it - not the whole leadership team by default.

Say all of this in the survey description

Tell respondents plainly what confidentiality does and doesn't mean before they answer, including the group-size threshold you use for reporting - vague reassurance erodes trust faster than an honest explanation of the real limits.
